The Executive Personal Assistant to BOD will serve as a strategic support partner to the BOD by managing executive operations, business coordination, stakeholder communications, and high-level projects across the company.
Beyond traditional executive support responsibilities, this role requires the ability to understand business priorities, coordinate cross-functional initiatives, prepare business materials, and represent the BOD professionally in internal and external engagements.
Key responsibilities:
Executive & Strategic Support
Provide high-level executive support to the BOD across business and operational matters.
Act as a liaison between BOD, senior management, external stakeholders, and business partners.
Assist the BOD in monitoring strategic initiatives, key projects, and company priorities.
Support follow-up and execution of action items arising from executive meetings and business discussions.
Prepare executive summaries, presentations, business reports, briefing papers, and meeting materials.
Conduct research and gather information to support business decisions and strategic planning.
Business Operations & Coordination
Coordinate cross-departmental projects and ensure alignment with management directives.
Track deadlines, deliverables, and progress of strategic initiatives across entities within the company.
Assist in reviewing operational reports, budgets, proposals, and business performance data.
Support business expansion initiatives, partnerships, and special projects as assigned by the BOD.
Attend selected meetings on behalf of the BOD where required and provide detailed minutes and follow-up actions.
Executive Administration
Manage calendars, appointments, travel arrangements, and executive schedules.
Organize board meetings, management meetings, and confidential discussions.
Prepare meeting agendas, minutes, and executive correspondence.
Maintain confidential company records, reports, and sensitive documentation.
Ensure smooth coordination between executives across different time zones and business entities.
Stakeholder & Communication Management
Draft professional communications, announcements, presentations, and executive correspondence.
Build strong working relationships with internal stakeholders, external partners, and leadership teams.
Handle sensitive information with high professionalism and confidentiality.
Assist in managing executive priorities and resolving scheduling or operational conflicts efficiently.
General Requirements
Bachelor’s Degree in Business Administration, Management, Communications, Finance, or related field.
Minimum 5–8 years of experience as Executive Assistant, Business Support, Chief of Staff, Project Coordinator, or similar senior support role.
Experience supporting C-level executives or Board of Directors is highly preferred.
Previous exposure to multi-entity/group companies or fast-paced business environments is advantageous.
